Agency Reporting for AI Visibility: PDFs, Looker Studio, and Scheduled Chats Compared
How agencies can deliver AI visibility reports to clients without manual screenshots, using exports, a Looker Studio connector, and scheduled summaries.
Client reporting is where most agency margin disappears. Somebody opens the tool, takes screenshots, pastes them into slides, writes three paragraphs, and sends it a day late. Multiply by twenty clients and a week of the month is gone. AI visibility makes it worse, because the numbers are new, clients ask what they mean, and nobody has a standard template.
This post compares three ways to automate the work and suggests a mix.
What a good client report contains
Before choosing a format, decide on content. A useful monthly AI visibility report covers:
- Headline metrics. Visibility, share of voice, and position in answer, with change since last period.
- What moved. The two or three prompts or pages behind the change.
- What was done. Fixes shipped and content published.
- What is next. One to three actions with owners.
- Outcome. AI-referred traffic and conversions, where measured.
Keep it short. Clients rarely read more than two pages. The details live in an appendix or a live dashboard.
Option 1: PDF reports and exports
Promptwatch can produce PDF reports of any dashboard, scheduled PDF reports, and Excel or CSV exports with a column picker. Custom reports are included on Professional and on all agency plans. White-label branding on PDF exports and schedules is listed for agencies, though the fact sheet does not tie it to a specific plan, so confirm with the vendor before promising it to a client.
Strengths: universal, easy to forward, no login for the client. Weaknesses: static. A client who wants to drill into a number cannot.
Best for: monthly summaries and executive readers.
Option 2: Looker Studio connector
For clients who live in dashboards, the Looker Studio (Data Studio) connector feeds live data into a report you already host. Every agency plan includes the Looker Studio connector.
Strengths: live numbers, your own layout, blends with data from other sources such as Search Console and analytics. Weaknesses: someone has to build and maintain the dashboard, and clients may need access.
Best for: clients who already use Looker Studio, and for teams that want one view across channels.
Option 3: Scheduled Chats
Scheduled Chats deliver analyst-style summaries in the app or in Slack. Agent Chat is a conversational analyst over live data that can run multi-step workflows, render charts, build dashboards, generate PDF reports, and work the Action Board. Agent Skills include a 7-day GEO briefing and a competitor gap analysis.
Strengths: the narrative is written for you, fresh each period. Good for internal weekly check-ins. Weaknesses: you should read it before it reaches a client. Slack briefings are not available on white-label workspaces, so plan alternatives for those.
Best for: internal weekly updates and quick client check-ins.
Side by side
| PDF reports | Looker Studio connector | Scheduled Chats | |
|---|---|---|---|
| Format | Static document | Live dashboard | Written summary |
| Setup effort | Low | Medium | Low |
| Client interactivity | None | High | None |
| Best use | Monthly summary | Ongoing dashboard | Weekly briefing |
| Plan note | Custom reports on Professional and agency plans | Every agency plan | Slack not on white-label |
A practical mix
For most agencies:
- Weekly, internal: a Scheduled Chat with the 7-day briefing posted to a team channel. The account lead skims it on Monday.
- Monthly, client: a scheduled PDF with headline metrics, movement, work done, and next steps.
- On request, client: a Looker Studio view for clients who want to explore.
Add a human review step before any client sees a summary. An automated writer can misread a number or overstate a change, and the account lead is the one who answers for it.
Agency plan facts to know
Agency self-serve plans are Kick-off at $199 a month, Growth at $399, and Scale at $799. Every agency plan includes unlimited projects, unlimited pitch projects, unlimited prompts, 10 seats, all AI models, Agent Chat, country, state, and city tracking, Ads Radar, visitor analytics, crawler logs, site audit, content gap analysis, custom reports, the Looker Studio connector, and MCP and API access. Agency plans do not include AEO articles, the knowledge base, the 360 Insights dashboard, Shopping Insights, or the automated Content Agent, so do not promise scheduled publishing from an agency plan.
Pitch projects are useful for new business: build a prospect's view before the pitch.
Making the report mean something
Reports fail when they list numbers without a story. Add one sentence of explanation per metric: why it moved, what you did, and what you expect next. If a number fell, say so, and say what you will do about it.
Link outcomes to work. If you published a page and its citation rate rose, say so. If you fixed a crawler block and bot requests recovered, show it.
Governance
- Use read-only scoped API keys for anything that reads data.
- Keep each client in its own project.
- Log what changed and when, so numbers can be explained later. The audit log is on Agency Scale.
The recommendation
Automate the first draft, keep a human on the last mile, and match the format to the reader. Promptwatch gives agencies PDF reports, the Looker Studio connector, and Scheduled Chats on every agency plan, with unlimited projects for client workspaces. Build one template this month and run it for a single client before you roll it out to the rest.
